Youth for Exchange and Understanding Cyprus (YEU Cyprus) is a non-profit, non-governmental youth organization in Nicosia working to empower young people through non-formal education, community engagement, and active citizenship. We manage a wide range of EU-funded projects (Erasmus+, ESC, CERV, etc.), and are deeply committed to youth development, inclusion, and sustainability. We’re currently seeking an Operations Officer to support the organization’s internal operations and financial systems. This role is ideal for someone who thrives on structure, is detail-oriented, and enjoys ensuring the behind-the-scenes work of an NGO runs like clockwork.
Role Summary: The Operations Officer will be responsible for overseeing the administrative, financial, and compliance systems that support YEU Cyprus’ operations and projects implementation. Working closely with the Creative & Managing Director, the project team, and our external accountant, you will manage payments, documentation, bookkeeping, and ensure we meet the financial and reporting standards of EU funders.
Key Responsibilities:
Financial Management & Payments:
– Prepare and execute payments (salaries, project costs, external fees) twice per month.
– Track and update internal payment systems and ensure receipt/invoice verification.
– Communicate with the Board of Directors for payment approvals and maintain clear documentation.
Bookkeeping & Reporting:
– Compile and maintain monthly physical bookkeeping folders for the accountant.
– Track and reconcile monthly expenses using internal ledgers (Bank + Cash).
– Submit monthly social insurance declarations and ensure employer compliance.
Project Budget Tracking & Timesheets:
– Prepare and coordinate timesheets in collaboration with the staff, and across multiple EU-funded projects.
– Monitor project budgets and support reconciliation with implementation activities.
– Support budget tracking in collaboration with the staff members.
Administration & Office Support:
– Manage contracts when they occur (Example for office space, utilities, and ESC accommodation).
– Submit necessary administrative documents to public authorities (e.g., District Admin).
– Any other tasks as required by the organization, in line with the evolving needs of ongoing projects and internal operations.
Compliance & Coordination:
– Ensure compliance with all EU funder financial and administrative rules.
– Coordinate internal deadlines, documentation workflows, and cross-team communication.
– Serve as the primary contact for the external accountant.
Qualifications & Profile:
Required:
– Bachelor’s or Master’s degree in Business Administration, Accounting, Public Administration, European Studies, Social and Political Sciences, Non-Profit Management, or a related field.
– 1–2 years of relevant experience in administrative, financial, or operations roles—preferably in the NGO or EU projects sector.
– Proficiency in Microsoft Excel and digital document organization.
– Solid understanding of bookkeeping principles and payment procedures.
– Fluency in Greek and English (spoken and written).
– Strong communication skills and confidence in communicating with public authorities.
– Excellent attention to detail, reliability, and organizational discipline.
– Comfort working in multicultural and youth-centered environments.
Desirable:
– Experience working with EU-funded programmes (Erasmus+, ESC, CERV, etc.).
– Previous experience working or volunteering in an NGO or youth-focused organization.
– Familiarity with platforms like the EU Beneficiary Module or ORS.

Selection & Interview Process: The selection process will be conducted in two stages:
1) Initial evaluation & interviews:
Applications will be evaluated based on the stated qualifications and relevance of experience. Shortlisted candidates from this round will be invited to a first interview. Evaluations and first round communications will take place around mid August 2025 – Beginning of September 2025.

2) Second round interview & final selection:
Candidates selected from the first round will be invited to a second interview. Final selections will be made by the beginning of September 2025.
